KENT LAW SOCIETY SERVICES LIMITED DATA AND SECURITY POLICY

  1. We hold your name and contact details in electronic and paper records. These record your name, email and postal/DX address and which courses you have attended. We also keep financial records, including copies of invoices and payments made. If you book a course we record this in a delegate list. We also use your stated practice interest groups to organise a group category for emails eg Property, Private Client etc. We will only store a digital and paper record of your contact details in order to communicate with you about future events, or to keep an historical record of your attendance at an event and a record of payment for the courses. These records are usually kept for 7 years.
  2. We adopt and maintain security measures to protect this data and this includes anti-virus, anti-malware software. To access these files, passwords are required to log into our devices and into back up files which are held on a cloud-based server and storage, currently OneDrive. Access to the cloud server is also password restricted.
  3. We use a third party email service, MailChimp to draft and send our marketing emails, and we upload email addresses to that service in order to send these emails. Your contact details (name and email address only) are stored on their server for our use in marketing email lists. They do not share your details with any third parties but may use the email data for analysis. Their privacy policy can be found here https://mailchimp.com/legal/privacy/#contacts. If you do not wish us to upload your contact details to this service, please contact us and we will delete your details from that service and email you from our own software.

PRIVACY POLICY - Members of Kent Law Society ("KLS") receive marketing information from us under the terms of the KLS membership policy and we will use the information provided above to confirm your membership status with KLS. Members and non-members - we will retain your contact details only to email you and write to you from time to time with details of our future training events and to identify which particular practice areas you might be interested in hearing about. We will not share your details with any third parties save for where we use MailChimp third party email software for our marketing emails as per the terms of our data and security policy. We have identified a legitimate interest in keeping you informed of future KLS training events, however if you no longer want to receive our emails or post, you have the right to opt out in writing at any time or unsubscribe using the button on our emails, and we will delete you from our mailing list as soon as practicable. You also have the right to complain to the Information Commissioner if you think there is a problem with the way we handle your data. Your data will be held by us only for as long as you wish to continue receiving information about our events.
